Your busiest hour is also the hour people call most. Staff are serving the customers in front of them and the phone keeps ringing. Many callers leave no message and never call back: they book the table or the appointment somewhere else.

How it works

    The customer calls a number

    Either a dedicated number for the assistant, or a diversion from your current number — if you like, only at peak times and outside opening hours.

    The assistant answers and knows your business

    It says it is an AI and speaks the language you choose. It looks the answer up in your own information — opening hours, services, rules, common questions — before it replies.

    The request is carried through

    The booking is recorded, the appointment goes into the calendar, an urgent matter is transferred to a person. If it belongs to nobody, the assistant logs it and sends an email.

The booking appeared in the floor diary straight away, and the same table was taken in the web booking at the same moment.

This example shows how a call runs. The extract we publish will be a real, anonymised call and is waiting for the customer’s consent.

Lingaro does not settle for taking a message. It checks what is genuinely free and records the booking in the system you already work in.

For restaurants

  • Checks real availability: tables, covers and the length of a sitting.
  • Takes opening hours and the capacity of the room into account.
  • Records the booking in the floor diary where staff run the day: moves, table allocation and walk-ins.
  • The booking widget on your website uses the same engine as the phone assistant.
  • The same table never goes twice: phone and web cannot book over each other.

For other sectors

  • Appointments in Lingaro’s own registry, with a per-staff calendar.
  • Several staff members, each with their own calendar.
  • Days off and exceptions are taken into account.
  • An SMS confirmation to the customer, in the language of the call.

The table logic for restaurants is its own piece of functionality. It does not carry over to other sectors as such.

Data stays in the EU

The service and the database run in the EU. Data protection is built in from the structure up, not bolted on afterwards.

Customers are kept apart

Each customer company’s data is isolated from every other customer’s.

The assistant says it is an AI

The caller is told directly. It is fair play, and it is what makes the service acceptable to your own customers.

It does not read out personal data

A product rule: people’s personal details are not read aloud on the phone.

The knowledge is yours

The knowledge base is under your control and you edit it yourself, whenever you want.

Does the caller understand they are talking to an AI?

Yes. The assistant says so itself at the start of the call.

What happens if the assistant does not know the answer?

It transfers the call to a person, or logs the matter as a ticket and sends an email about it. The unanswered questions are also collected into a report so you can fill the gaps.

Where is call data processed?

In the EU. The service is built data-protection first, and each customer’s data is kept apart from the others.

Which languages does it speak?

The language is set per customer. Finnish, English and Italian are in use today.

Do I have to change my phone number?

No. The assistant gets a number of its own, or you divert your current number to it — if you like, only at peak times and outside opening hours.

How quickly can we start?

Setup moves at the pace of getting the phone number live. In Finland a number is quick to obtain. In some countries the operator requires company documents, which takes longer. We do not promise a date we cannot keep.

What does it cost?

The price depends on usage. See the pricing section and ask for a quote.

Does it work with my calendar?

You do not need an external calendar: Lingaro has its own appointment registry with a per-staff calendar. Google Calendar and Microsoft Outlook can be connected on request; other systems are assessed case by case over an API.

Can I change what the assistant says?

Yes. The knowledge base and the content of the answers sit in the dashboard, and you edit them yourself without us.

What if several people call at once?

The assistant handles several calls at the same time, so a queue does not build up the way it does behind one person.
